Proof of Route is software that route-based service companies (sweeping, landscaping, pool service and similar) use to run their work and show their customers proof of service. This policy explains what we collect, why, and what you can do about it. “We” means Proof of Route. “Your company” means the service company whose account you use.
Who controls your information
Each company that uses Proof of Route decides who gets an account and what is recorded. For information about a company's crews and customers, the company is in charge of it and we handle it on their behalf. If you're a crew member or a customer, your company is the best place to start with questions or requests; we'll help them answer.
What we collect
- Account details: name, email address, username, role, and a password, which we store only as a one-way hash. Optional: phone number, and the key for two-step sign-in, stored encrypted.
- Location, for crews: the phone's GPS position while the crew member is on shift or working a job in the iPhone app (or while the website is open, for crews using it on a phone), plus the position at check-in, finish and when a photo is taken. The iPhone app stops tracking when the shift is switched off. It's used to plan routes, show the office where the trucks are, tell customers when the crew is on the way, and prove a visit happened.
- Work records: jobs, checklists, notes, photos taken on the job, hours clocked, and a history of changes.
- Customer details: names, emails, property addresses, ratings and comments, and invoices.
- Payments: card payments are handled entirely by Stripe. We never see or store card numbers; we keep only the payment's reference and amount.
- Website requests: if you ask for a demo, the details you type in the form.
- Technical: a sign-in cookie (needed to keep you signed in), and short-lived server logs with IP addresses, kept to keep the service secure.
We don't use advertising trackers, we don't sell personal information, and we don't share it for advertising.
Who we share it with
Only the providers that run the service for us, and only what each needs:
- Render (hosting the servers) and Cloudflare (domain, and encrypted backup storage)
- Resend (sending email)
- Stripe (card payments and subscriptions)
- Apple (push notifications to the iPhone app)
- A map provider (OpenStreetMap or Mapbox) for map pictures and drive times; it sees which map area is shown and the start and end of a drive, never who you are
We may also disclose information if the law requires it.
How long it's kept
- GPS points while driving or on shift: 90 days by default. The trail recorded on a property during a job: 2 years by default, because it's the proof of that visit. A company can choose shorter or longer.
- Jobs, photos, invoices and their history: for as long as the company keeps its account, unless deleted sooner.
- Encrypted backups: up to 90 days.
Security
Every company's data is kept in its own separate database. Connections are encrypted (HTTPS), backups are encrypted, passwords are hashed, and staff can protect their sign-in with a code from an authenticator app.
Your choices
- Customers can delete their own account from the portal or the iPhone app (Account → Delete my account), and turn emails and notifications on or off.
- Crews choose when they're on shift: the iPhone app doesn't record location outside a shift or a job.
- To see, correct or delete other information, ask your company, or contact us and we'll work with them. Where the law gives you rights (for example in California under the CCPA), we'll honor them.
Children
Proof of Route is a business tool and isn't meant for children under 16.
Changes and contact
If we change this policy in a way that matters, we'll update the date above and tell company admins. Questions: use the form on our homepage and we'll reply by email.
